Privacy notice
StudyShare is provided to your university by Kognitiv Analytica. This notice explains who is responsible for your data, what is processed, how it is protected and what you can do about it.
What we process
- Your university account details (name, e-mail, role, department and groups), registered by your university.
- Your conversations, tasks and generated files, visible only to you and not to university administrators.
- Security logs (sign-ins and administrative actions), kept for accountability. They never contain message content.
How it is protected
- Each university's data is isolated at every layer: database row-level security, per-university encrypted file storage and separate caches.
- Students and staff sign in with their university Microsoft account. Administrators use a separate administration space with their own ID and password.
- Files and connection secrets are encrypted at rest, and all traffic uses TLS.
- Document indexing (embeddings) runs on StudyShare servers. To generate answers, questions and the passages needed to answer them are sent to the AI model provider, Groq.
- Web research uses public sources only. Your personal data is not sent to them.
Your rights
From Account in the app, you can download your data and delete your conversation history. Conversations are also deleted automatically after the retention period your university has configured.
For other requests, such as correction, objection or complaint, contact your university's data protection officer.
Contact and demo enquiries
If you submit a public contact or demo form, we store your name, e-mail address, institution and any information you choose to share, in a restricted developer inbox so the team can respond. Only authorised StudyShare developers can view these enquiries, and they are deleted once no longer needed for follow-up.
Please do not include sensitive personal information in these forms.
